Privacy Policy

1. Scope

ClinX Academy LLC operates ClinX Academy. This policy applies to Academy public website pages, forms, course interest workflows, communications, and related education services. Member areas and payment flows may also be governed by the policies of the platform and payment providers used to deliver those services.

ClinX Academy LLC also operates ClinX Connect, a separate, optional professional platform. This policy explains the Academy membership information used to check ClinX Connect eligibility. ClinX Connect account, profile, opportunity, and billing information is described in the ClinX Connect Clinician Privacy Notice.

2. Information We Collect

• Contact information, such as name, email address, phone number, profession, and message content.
• Course, community, event, or job-resource interests that you submit through forms.
• Account, purchase, and payment status information processed by member platform or payment providers.
• Limited Academy membership records and email-verification or access-review records used to check ClinX Connect eligibility, as described below.
• Technical data needed for security, debugging, fraud prevention, and site reliability.
• Consent preferences stored in the first-party privacy_consent_v1 cookie.

3. How We Use Information

• Provide course, community, event, newsletter, and resource access.
• Respond to inquiries and support requests.
• Process purchases, subscriptions, refunds, tax, and operational records.
• Protect the site, member platform, users, and course materials.
• Verify current or former full-program Academy membership for optional ClinX Connect access, administer the included-access benefit after activation, and respond to membership-review requests.
• Use optional analytics only after you opt in through Privacy Choices.

3a. Academy Membership Verification for ClinX Connect

We maintain a private eligibility record using current and historical full-program membership information from Kajabi, our Academy member platform. This record can include Academy members who have not registered for ClinX Connect. Paid, complimentary, and faculty enrollments are checked on the same basis, including full-program enrollments using a 100% coupon. Ordinary expiration of Academy access does not erase a qualifying membership history.

The synchronized eligibility record contains only the member email address, Kajabi contact identifier, qualifying program-offer identifiers, and the dates the record was first and most recently observed. These dates are synchronization dates, not enrollment dates. This process does not copy course activity, payment-card information, CVs, or professional profiles into the eligibility record.

When you request ClinX Connect access, we check the email address you provide against these records and, when needed, perform a direct Kajabi lookup. We require verification of the email address before completing registration. If an address is unmatched, ClinX Connect stores a private access request with the email address, request and verification dates, and review status. It sends an email-verification link and may notify authorized Academy administrators after verification so they can review membership or follow up about the access request. Any manually reviewed exception records the decision, reason, and administrator responsible. An unmatched request does not create a ClinX Connect account, workspace, or subscription.

If you separately activate the Academy benefit in ClinX Connect, ClinX Connect also keeps the account and qualifying email associated with it, activation and end dates, and a reference to any new ClinX Connect-sourced signed contract that ends the included period. These records administer the benefit and help resolve access or billing questions; they are separate from the limited Kajabi eligibility record. The ClinX Connect privacy notice describes the related account, deal, legal-acceptance, and billing records and their retention.

Eligibility records and access requests are restricted to authorized administrators and the systems and service providers needed to verify membership, secure access, and deliver verification messages. They are not a public member directory or a company-facing candidate profile. Academy enrollment or verification does not automatically publish a ClinX Connect profile, authorize ClinX Connect billing, or consent to marketing. We use an access request to handle that request, not as marketing consent.

We retain qualifying membership history to recognize former members. Unverified access requests are normally removed after 30 days without another request. Verified requests and review decisions are retained as needed to resolve access, support the account, and document the decision. You may request access, correction, or deletion using the contact below; legal and operational retention exceptions may apply. ClinX Connect's privacy notice describes the retention of its other account and service records.

4. Cookies, Analytics, And Advertising

We use essential technologies to operate the public site and education workflows. Google Analytics on the public site is treated as optional analytics and is blocked unless you opt in. We do not load advertising features in the optional public-site analytics. We do not use session replay tools on ClinX Academy or ClinX Connect. Legacy AdRoll and Tawk chat scripts have been removed from our Kajabi member pages, and the optional Kajabi Google Analytics integration has been disabled.

If you opt in to Marketing in Privacy Choices, we retain permitted campaign parameters and ad-click identifiers in this browser tab for up to 30 days and pass them to our ClinX Connect employer posting flow to measure which ads lead to approved company opportunities. Connect asks for its own advertising-measurement choice. No contact details or role descriptions are included in these URL parameters. Rejecting or withdrawing Marketing clears this tab’s attribution and stops forwarding it; posting remains available.

If we add marketing pixels later, they will be treated as marketing technologies and will require an opt-in choice before loading. If your browser sends Global Privacy Control, we treat it as an opt-out from non-essential analytics, marketing, sale, sharing, and targeted advertising uses where applicable.

5. Service Providers

We may share information with providers that help us host the website, deliver the member platform, process payments, send email, manage forms, secure systems, provide analytics after consent, and support business operations. These providers may process information only as needed to provide services to us or as otherwise permitted by law.

6. Your Requests

7. Updates

We may update this policy from time to time. Changes are effective when posted with a new effective date.
